You attach a PDF, press send, and your email app tells you the file is too big. It happens most often with scans, brochures and anything with photos in it. The fix is to compress the PDF for email, and you can do it without uploading your document to a stranger’s server.
How big is too big for email?
Limits vary by provider. Gmail allows attachments up to 25 MB in total. Outlook.com is lower, at about 20 MB. Company mail servers are often stricter still, so a file that sends fine to a friend can bounce at work. As a rule, keeping a single attachment well under 10 MB gets through almost everywhere. Check your own provider’s current limit if the message is important.
Why are some PDFs so large?
A PDF that is mostly text is tiny, often under a megabyte. Size comes from images: photos, scanned pages and high-resolution graphics. A scanned 20-page document is really 20 photographs, which is why it can weigh 30 MB while a 200-page text report weighs 2 MB.
That also tells you what to expect from compression. A scan or a photo-heavy brochure can shrink a lot. A text-only PDF has little to give.
How to compress a PDF in your browser
The Compress PDF tool on FlyerUtility reduces file size by lowering the quality of the images inside the PDF. Text and vector graphics stay sharp. Everything happens on your device: the PDF is never uploaded or stored.
- Open the Compress PDF tool and add your PDF.
- Move the quality slider. Lower quality gives a smaller file with slightly softer images. Higher quality keeps images crisper but saves less space.
- Check the new size. If it is still too large, move the slider lower and try again. If the images look too rough, move it back up.
- Download the compressed PDF and attach it to your email.
Try two or three settings. The best one is the lowest quality that still looks fine for what the reader needs, such as reading on screen rather than printing a poster.
Other ways to shrink a PDF
- Remove pages you don’t need. Add the PDF to the Merge PDF tool, delete the pages, and download the result.
- Split it into parts. Two 8 MB files can be easier to send than one 16 MB file. The Split PDF tool separates a PDF into sections.
- Scan at a lower resolution next time. For documents that people only read on screen, a lower scan setting makes a much smaller file from the start.
- Send a link instead. For very large files, share a link from a cloud drive and let the recipient download it.
Is it safe to compress a confidential PDF?
It is safest when the tool never receives the file at all. Many compress sites upload your PDF, process it on their servers and send it back. A browser-based tool avoids that step. If you are curious how to tell the two apart, read How to merge PDF files without uploading them anywhere, which explains what to look for.
Common questions
Will compression make my text blurry? No. Compression targets the images. Text and vector graphics stay sharp and readable.
How much smaller will my file get? It depends on the content. PDFs with many high-resolution images shrink the most, and text-heavy ones shrink the least.
Do I need an account? No. It is free and there is nothing to install.
